Free Quote Builder for Builders & Trades

Build a job quote from your saved projects or our UK price list, add labour and your markup, then download a branded PDF quotation with your own logo. Free, no sign-up.

How the quote builder works

  1. Set up your business once. Add your trading name, contact details and logo. If you're VAT registered, tick the box and add your VAT number so VAT is worked out on every line.
  2. Add the job. Enter the customer and site address. The quote number and the "valid until" date fill in automatically, and you can change them.
  3. Describe the scope. Say what's included, what isn't, and what you've assumed (for example "excludes removing the existing fence"). This matters as much as the price.
  4. Add the lines. Bring in a whole materials list from My projects, pick products from our checked UK merchant prices, or type your own. Labour is worked out as workers × days (or hours) × your rate, for example 2 workers × 3 days at £220. For a fixed price, use 1 × 1. Add skips, delivery or anything else too.
  5. Offer optional extras. Add upgrades such as "premium fence panels: +£240". They're listed separately on the quote and stay out of the total until you tick that the customer has chosen them.
  6. Set your markup. A markup on materials is added into the prices your customer sees. It is never shown as a separate line.
  7. Set the payment stages. Add a deposit and any interim payments as a percentage or a fixed amount. The final balance is whatever is left, so the schedule always adds up to the total.
  8. Download the PDF. You get an A4 quotation with your logo and colours, the scope of work, the line items, VAT, the total, the payment schedule and your terms. It's ready to email or print. Before it's made, the builder checks for missing details such as the customer's name or an item without a description.

Keeping track of quotes

Mark each quote as Draft, Sent, Accepted or Declined, and note the date the customer accepted. A draft or sent quote past its "valid until" date shows as Expired. Once a quote is sent it's locked, so you always have a true copy of what the customer received. To change it, make a revision: you get Q-2026-0001 Rev 1 to edit, and the original is kept, read-only, as a record.

Where is my data kept?

Your business details, logo and quotes are saved in this browser on this device. Nothing is sent to us. Clearing your browser's site data deletes them.

Use Back up all quotes now and then. It downloads one file with every quote and your business details. Restore a backup brings them back, still editable, on this or any other device. A PDF keeps a copy of the document, but it can't be turned back into an editable quote.

Prices and VAT

Prices from our UK merchant price list are retail prices that include VAT. If you tick "VAT registered", they're added at the ex-VAT price (divided by 1.2) and VAT is then added on the quote. Merchant prices change, so check them before you send the quote. Trade accounts are often cheaper.

This tool helps you lay out a quotation. It doesn't give tax or legal advice. If you're unsure about VAT rates (for example the reduced rate on some energy-saving work) or about your terms, check with HMRC or your accountant.

Quote or estimate?

In the UK a quote is usually taken as a fixed price for the work described, while an estimate is a best guess that can change. This tool titles the document "Quotation". Describe the work clearly and say in your terms what isn't included, so there are no arguments later.
